Position Overview:
The Lead Scheduler plays a critical role in supporting the daily operations of the Alternative Placement Youth (APY) mentor program by overseeing workforce coordination, scheduling systems, and shift accountability. This position is responsible for ensuring that mentor coverage aligns with youth needs, schedules are accurate and up to date, and communication across the team remains clear and responsive.
The Lead Scheduler serves as a central point of coordination between mentors and leadership, helping maintain structure, consistency, and efficiency in program operations. This role requires strong organizational skills, attention to detail, and the ability to adapt quickly in a dynamic, youth-centered environment. A high level of comfort with technology, including scheduling and workforce management platforms such as ConnecTeam, is essential for success in this role.
Core Responsibilities (Including but not limited to):
Scheduling & Workforce Coordination
- Oversee the development, maintenance, and accuracy of mentor and youth schedules using Connecteam, our time tracking and scheduling software.
- Ensure appropriate staffing coverage based on program needs and mentor availability
- Coordinate shift coverage and respond to real-time scheduling changes within the Connecteam platform.
Shift Oversight & Accountability
- Monitor mentor attendance, timekeeping, and completion of assigned responsibilities
- Ensure timely documentation and adherence to program expectations
- Address scheduling discrepancies and support resolution of attendance-related issues
Communication & Team Coordination
- Serve as a primary liaison between mentors and program leadership regarding scheduling matters
- Maintain consistent communication channels to address updates, changes, and urgent needs
- Support a responsive and organized communication structure across the team
Administrative & Operational Support
- Maintain and update scheduling systems and related documentation
- Conduct regular reviews to ensure scheduling accuracy, efficiency, and compliance
- Track mentor engagement, including availability and participation trends
Compliance & Program Support
- Ensure adherence to scheduling protocols, attendance policies, and program standards
- Support onboarding logistics, trainings, and administrative coordination as needed
- Assist with additional operational or administrative projects to support program success
Payroll & Timekeeping Support
Assist in reviewing timesheets for accuracy and alignment with scheduled shifts
Help ensure proper documentation of hours worked in accordance with program expectations
Minimum Requirements
- Associate or Bachelor’s degree in human services, nonprofit management, social work, business, education, or a related field; OR a combination of relevant education and experience
- Minimum of three (3) years of combined experience in program coordination, scheduling, or workforce operations
- Strong technology proficiency, including Microsoft Office Suite and workforce management platforms (e.g., Connecteam), along with standard office equipment
- Excellent organizational, time-management, and problem-solving skills, with the ability to identify and address system or scheduling issues
- Strong written and verbal communication skills
- Ability to work collaboratively with internal teams and external partners in a fast-paced environment
- Understanding of confidentiality standards and experience working within HIPAA-compliant environments
Preferred Qualifications
- Experience in youth services, mentorship programs, or working with returning citizen populations
- Experience supporting or contributing to program development and implementation at both direct service (micro) and systems (macro) levels
- Background in team coordination, staff support, or workforce oversight in a dynamic environment
- Demonstrated ability to contribute to operational planning, process improvement, and performance tracking
- Creative, solutions-oriented mindset with a strong ability to adapt and grow within evolving program needs
Working Schedule
- Full Time Schedule (Monday – Friday) (8am – 4pm or 9 am – 5pm)
- Monday – Thursday – In Person, Friday – Remote
- Work is hybrid within Maryland.
General Physical Requirements
At times there may be sedentary work. May be required to periodically lift up to 51 lbs, moving in various positions. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Visual Acuity
The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading; visual inspection involving small defects, small parts and/or operation of machines (including inspection); using measurement devices; and/or assembly of fabrication of parts at distances close to the eyes.
